Store orders

See every order, mark it ready for pickup or shipped, and know which emails you and your customers get.

Every paid order from your online store is emailed to you and listed on your Store screen. From there you mark it ready for pickup or shipped, and the customer gets an email.

When an order comes in

  • You get an email called "New order #1001", with what they bought (with their choices, extras and answers in full), the totals, the customer's name, email and phone, how they're getting it (pickup, the shipping address or files to download), the day it's due if you make it to order, and their answer to your checkout question. Reply to that email to write to the customer.
  • The customer gets a confirmation with the order number, what they bought, the totals and, for pickup, your Pickup details. For things you make to order or send as files, it links to their order page. Stripe also emails them a receipt.

Order numbers count up from 1001 for each site, so you can talk about "order 1004" with a customer.

See your orders

  1. In your editor, click Store in the sidebar. The number next to it is how many orders are new.
  2. Scroll to Orders. Pick To do (new, in progress, proof sent, approved and ready for pickup), Finished or All.
  3. Click an order to open it. You'll see the items and totals, the customer's email and phone (click to email or call them), how they're getting it, and Their note if they answered your checkout question.

Orders you make or send as files

Orders for things you make to order show the day they're due and the customer's answers. Open one to send a proof or the finished files: see Made to order and files to download.

Mark an order ready or shipped

Open the order, then:

  • Pickup orders: when it's ready, click Ready for pickup. When they've collected it, click Picked up.
  • Shipped orders: when you've sent it, click Mark shipped. It moves to Finished.
  • Nothing to deliver (gift cards, classes): click Done when it's taken care of.
  • Files to download: an order of only a product's own files is Delivered as soon as they pay, with nothing to do. For files you make for each customer, send them from Making it: see Made to order and files to download.

Leave Email the customer ticked to tell them. "Ready for pickup" sends "Your order #1001 is ready for pickup", with your Pickup details. "Mark shipped" sends "Your order #1001 has shipped". Untick it if you've already told them another way.

Clicked the wrong one? Move back to new puts the order back. No email goes out for that.

To add a tracking number, reply to the customer's order email from your own email program.

Refunds

Refunds are made in your Stripe dashboard. See Connect Stripe. When an order is refunded in full, it's marked Refunded here, and it can't be changed after that. For a partial refund, the order stays as it is.

Orders from your Spanish pages

Orders placed on your Spanish pages say "Ordered from the Spanish pages". Product names are in Spanish if you translated them. The customer's emails are in Spanish.
